You will want to adapt the session to meet the needs of your individual group and to fit in with the amount of time and money you have available.
Commonly a Big Picture session might have the following:

Setting of ground rules |
  |
An icebreaker - to help people relax and feel comfortable with each other |
  |
An explanation of The Big Picture - so people understand roughly how it works |
  |
A general assessment of the organisation/ project using The Big Picture |
  |
Prioritising a strand to work on |
  |
Discussion around the chosen strand or quadrant |
  |
Action planning - so that something happens as a result of the session |
  |
Review of actions taken (at subsequent meetings) |
In practice you may not have time to include all of these in one session.
Key questions for planning your session

How much time have you got? If you are short of time you might want to skim over some parts, send some information before the session, decide to hold a second session or follow up action by post or e-mail. |

Do the individuals know each other well? If they don't, introductions and icebreakers will be particularly important. |
  |
Have this group used The Big Picture before? This will determine how much time you want to spend on explanations. |
  |
Are some people likely to feel less confident or comfortable than other people? Setting ground rules can be important here. |
  |
How many people do you want to invite? More people means more time for group feedback. |

Do it yourself or peer support?
Can someone in your organisation facilitate the session or would you prefer to get someone from outside?
The Big Picture team have trained Peer Supporters, who can either advise you how to use The Big Picture or facilitate a session for you. There is no fee, you would only have to pay travel expenses. Contact either SCVO or your local Council for Voluntary Service to find out which peer supporters are based near you. Alternatively look at The Big Picture
